We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our real estate team. The ideal candidate will be proactive, resourceful, and capable of managing multiple tasks efficiently. This role offers an exciting opportunity to work in a dynamic environment and contribute to the smooth operation of the Team. Candidates should be quick problem solvers, extremely organized, and have experience working as an Administrative assistant in Real Estate. Compensation:

$60,000

Responsibilities:
  • Support the real estate office as needed with other assistant duties, such as picking up orders
  • Utilize database to safely keep track of customer records
  • Execute office management tasks such as systematizing office records, and buying office equipment
  • Keep a balanced record of the broker’s business transactions
  • Answer phone calls, emails, and other requests and notify broker of necessary details
  • Manage executive calendars, appointments, and meetings
  • Coordinate travel arrangements and accommodations
  • Prepare and edit documents, reports, and presentations using skills
  • Handle incoming calls, emails, and correspondence with professionalism
  • Assist with financial tasks using tools such as Trello
  • Maintain office supplies inventory and place orders as needed
  • Organize and oversee events, including meetings and conferences
  • Perform general duties such as filing, scanning, and data entry
  • Support office management by ensuring a well-functioning work environment
  • Responsible for Agent onboarding and training on all template forms, CRM, and brokerage systems for team multiple agents
  • Licensed Real Estate Agent-able to help with GAR contracts
  • All listing coordination for multiple agents tasks including: listing entry, document preparation and review, compliance, sign order and lockbox coordination, showing coordination, agent feedback gathering, GAR document creation, coordination of closing gifts.
  • Enhance customer satisfaction by establishing clear communication channels and addressing concerns promptly
  • Conduct regular performance views, identifying areas for improvement and developing action plans to address them
  • Manage incoming leads for team of agents through FollowUpBossCRM. Managed Leads and tracked through CRM until lead becomes client
  • Manage team budgets effectively, reported on weekly team number for operating principals
  • Weekly Accountability Meetings with Agents to review pipeline, discuss weekly objectives and hold them responsible for team goals
Qualifications:
  • A valid Real Estate License is required for this job
  • Accustomed to navigating computer software such as Microsoft Office and MLS
  • Excellent communication skills and organizational skills
  • High school diploma or G.E.D. required
  • Proven experience as an Executive Real Estate Assistant
  • Proficiency in using document management and communication
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal abilities
  • Ability to prioritize tasks and work under pressure
  • Familiarity with for handling calls efficiently
  • Knowledge of practices
  • Commitment to providing exceptional customer service
  • Proficient in using Real Estate Systems such as Fmls, Gamls, Remine, Supra, Showingtime, Docusign.
